OVERVIEW:

Thank you for your interest in participating as an sponsor/exhibitor/vendor. The Expo will be held Saturday, October 19, 2024, 10 AM – 4 PM to Sunday, October 20, 2024, 10AM - 4 PM. Application deadline is 10/16/2024 at 11:59 PM. For late registrations, please email [email protected].

The steps outlined in this web-form will improve the efficiency of the application process. As the date of the Expo approaches, the event organizers will send out emails with information regarding contacts, maps, load-in/out times, etc.

The Las Cruces International Airport is an active airport and must comply with all applicable federal, state, and local rules and regulations to ensure the safety and security of all users. All Expo exhibitors/vendors assume overall responsibility for the set-up and running of their space and operations.

It is up to the exhibitor/vendor to:

1) Comply with all applicable laws, regulations, rules, ordinances, guidelines, and procedures;
2) Assure that all documentation is turned in prior to the Expo, in accordance with the criteria laid out in this application;
3) Remain in compliance throughout the entire Expo;
4) Communicate with the Expo organizers.
Failure to comply may result in removal from the Expo.

PAPERWORK & DOCUMENTATION

LIABILITY INSURANCE WITH ENDORSEMENT

A general one million-dollar ($1,000,000) liability policy is required naming the City of Las Cruces as additional insured with an endorsement.
All vendors operating on city property must demonstrate that they meet state of New Mexico Workers Comp statutory limits (if applicable).
Failure to provide insurance certificate(s) and fees by required date may result in cancellation of application.
Non-Profits & Leagues/Associations: Insurance is also required.
Food Trucks: In addition to the general liability requirement above, food trucks operating on any City property will need to provide a certificate showing auto liability of one million-dollars ($1,000,000).
If a jumping balloon or similar activity is desired, a three-million-dollar ($3,000,000) liability policy is required naming the City of Las Cruces as additionally insured with an endorsement.

• Final Payment of vendor fee with application due by 10/16/2024 at 11:59 PM. You will be contacted by an Airshow organizer once the application has been received to coordinate any remaining balances.
• Exhibiting space, and tables/chairs are subject to availability.
